Job Description

Job Title: Executive Assistant & Office Support Manager

Position Purpose

The Executive Assistant & Office Support Manager will serve as a strategic partner to the Managing Director for Middle East & Southeast Asia – Oceania (SEAO). This pivotal role involves providing exceptional support to ensure business continuity through effective management of priorities and commitments.

Key Responsibilities

  • Provide executive and administrative support to the Managing Director.
  • Manage calendars, meetings, travel arrangements, expenses, and correspondence.
  • Act as the primary liaison between senior leadership and internal/external stakeholders.
  • Coordinate meetings, events, conferences, and leadership activities.
  • Support ad-hoc projects through research, coordination, and follow-up.
  • Maintain records, databases, filing systems, and confidential information.
  • Oversee office operations, supplies, equipment, and vendor coordination.
  • Collaborate with other departments to ensure efficient business operations.
  • Act as a professional ambassador for the Managing Director and leadership team.

Qualifications

  • 3–5 years of administrative or executive support experience.
  • Advanced skills in MS Office and proficiency with digital collaboration tools.
  • Strong communication, organizational, and multitasking abilities.
  • Proactive, adaptable, and highly detail-oriented.
  • Ability to handle confidential information with professionalism and discretion.
  • Excellent interpersonal skills with a customer-focused mindset.
  • Ability to prioritize effectively in a dynamic environment.
  • A degree or diploma is preferred.
  • Experience in the beauty industry or retail is a plus.

Statutory benefits (UAE)

  • Wage Protection System (WPS)

    Current-month wages must be paid via WPS no later than the 1st of the following Gregorian month. Establishments must transfer ≥85% of total wages by the deadline (Ministerial Resolution 340/2026).

  • End-of-Service Gratuity (EOSB)

    21 days of basic salary per year for the first 5 years; 30 days per year thereafter. Allowances are excluded from the calculation.

  • Annual leave

    Minimum 30 calendar days per year after the first year of service (2 days per month between 6 and 12 months).

  • Sick leave

    Up to 90 days per year on a structured paid/unpaid schedule once probation completes.

  • Health insurance

    Mandatory employer-provided coverage in Dubai and Abu Dhabi.
