About the Role

We are seeking a Mid-Level Office/Admin Assistant to join our team in Dubai. This role is crucial for ensuring smooth office operations. You will be the first point of contact for visitors and clients. Your strong organizational skills will help maintain an efficient work environment. This position requires a Bachelor’s degree in business administration or a related field.

Responsibilities

  • Serve as the first point of contact for visitors, clients, and vendors.
  • Manage the reception area and handle inquiries effectively.
  • Process employee requests and provide relevant information promptly.
  • Coordinate and schedule appointments and meetings efficiently.
  • Provide administrative support to various departments as needed.
  • Coordinate with vendors for office supplies and services.
  • Prepare purchase requests and follow up on quotations.
  • Support invoice tracking and coordinate with finance teams.
  • Ensure smooth office operations by tracking supplies and equipment.
  • Oversee daily allocation and condition of company vehicles.
  • Monitor vehicle movement and maintain trip logs accurately.
  • Coordinate regular servicing and repairs of vehicles.
  • Work with building management for maintenance and employee concerns.
  • Ensure cleanliness and organization of office premises.
  • Handle incoming and outgoing mail and deliveries efficiently.

Requirements

  • 3 - 5 years of relevant experience in a similar role.
  • Bachelor’s degree in business administration or equivalent.
  • Strong knowledge of Microsoft Office applications.
  • Excellent communication and interpersonal skills.
  • Good organizational skills and attention to detail.
  • Ability to maintain confidentiality in all matters.
  • Experience in a corporate environment is a plus.
  • Flexibility to adapt to changing priorities is preferred.

Statutory benefits (UAE)

  • Wage Protection System (WPS)

    Current-month wages must be paid via WPS no later than the 1st of the following Gregorian month. Establishments must transfer ≥85% of total wages by the deadline (Ministerial Resolution 340/2026).

  • End-of-Service Gratuity (EOSB)

    21 days of basic salary per year for the first 5 years; 30 days per year thereafter. Allowances are excluded from the calculation.

  • Annual leave

    Minimum 30 calendar days per year after the first year of service (2 days per month between 6 and 12 months).

  • Sick leave

    Up to 90 days per year on a structured paid/unpaid schedule once probation completes.

  • Health insurance

    Mandatory employer-provided coverage in Dubai and Abu Dhabi.
