Onsite Front Desk / Admin Officer for Hospitality

• Interested candidates should possess a Bachelor`s Degree with 2 - 4 years experience.

• Serve as the first point of contact for visitors, clients, vendors, and employees, ensuring a warm, courteous, and professional reception.
• Receive, screen, and direct incoming telephone calls, emails, and enquiries to the appropriate personnel.
• Manage visitor registration and ensure adherence to the company's security and access control procedures.
• Maintain a clean, organized, and professional reception area at all times.
• Receive, sort, record, and distribute incoming mail, courier deliveries, and official correspondence, and coordinate outgoing dispatches.
• Prepare, type, format, and distribute letters, reports, memos, meeting minutes, and other administrative documents.
• Maintain accurate physical and electronic filing systems to ensure easy retrieval of records and documents.
• Schedule appointments, meetings, and conference room bookings, and provide administrative support during meetings when required.
• Coordinate office events, staff meetings, trainings, and other administrative activities.
• Monitor office supplies and stationery, maintain inventory records, and initiate timely replenishment to avoid stock shortages.
• Liaise with vendors and service providers to ensure timely maintenance of office equipment and facilities.
• Maintain accurate administrative records and ensure the confidentiality of company, employee, and client information.
• Respond promptly and professionally to enquiries, resolving routine administrative issues and escalating complex matters where necessary.
• Support various departments with administrative and clerical tasks as assigned.
• Ensure compliance with company policies, administrative procedures, and workplace health, safety, and security standards.
• Promote a positive and professional image of the organization through excellent customer service and effective communication.
• Perform any other administrative duties or responsibilities assigned by the Admin Manager or Management.
