About the Role

We are seeking a Mid-Level Office/Admin Assistant to join our team in Dubai. This role requires a proactive individual who can manage various administrative tasks efficiently. You will be the first point of contact for visitors, clients, and vendors, ensuring a welcoming environment. Responsibilities

  • Serve as the first point of contact for visitors, clients, and vendors to create a positive impression.
  • Manage the reception area and handle inquiries to ensure smooth operations.
  • Process employee requests and provide information to support staff needs.
  • Coordinate and schedule appointments and meetings to optimize time management.
  • Provide administrative support to various departments to enhance productivity.
  • Coordinate with vendors for office supplies and services to maintain inventory.
  • Prepare purchase requests and follow up on quotations to ensure timely procurement.
  • Support invoice tracking and coordinate with finance to ensure accurate records.
  • Ensure smooth office operations by monitoring supplies and equipment availability.
  • Oversee daily allocation and condition of company vehicles for efficient use.
  • Monitor vehicle movement and maintain trip logs for accountability.
  • Coordinate regular servicing and repairs of vehicles to ensure safety.
  • Coordinate with building management for maintenance to uphold office standards.
  • Ensure cleanliness and organization of office premises for a professional environment.
  • Handle incoming and outgoing mail and deliveries to facilitate communication.

Requirements

  • 3 to 5 years of relevant experience in a similar role to ensure competence.
  • Bachelor’s degree in business administration or equivalent for foundational knowledge.
  • Strong knowledge of Microsoft Office to perform daily tasks effectively.
  • Excellent communication and interpersonal skills to interact with diverse individuals.
  • Good organizational skills to manage multiple tasks efficiently.

Statutory benefits (UAE)

  • Wage Protection System (WPS)

    Current-month wages must be paid via WPS no later than the 1st of the following Gregorian month. Establishments must transfer ≥85% of total wages by the deadline (Ministerial Resolution 340/2026).

  • End-of-Service Gratuity (EOSB)

    21 days of basic salary per year for the first 5 years; 30 days per year thereafter. Allowances are excluded from the calculation.

  • Annual leave

    Minimum 30 calendar days per year after the first year of service (2 days per month between 6 and 12 months).

  • Sick leave

    Up to 90 days per year on a structured paid/unpaid schedule once probation completes.

  • Health insurance

    Mandatory employer-provided coverage in Dubai and Abu Dhabi.
