Factory Admin Officer

Job Summary

• The Factory Admin Officer is responsible for providing effective administrative and operational support to ensure the smooth and efficient running of the factory.
• The role will coordinate day-to-day administrative activities, facility management, documentation, staff welfare, logistics support, and general office services within the factory.
• The ideal candidate should have practical experience in factory or manufacturing administration, with the ability to work effectively in a fast-paced operational environment and coordinate activities across Production, Warehouse, Maintenance, HSE, HR, and other factory functions.

Key Responsibilities

• Coordinate the day-to-day administrative activities of the factory and ensure smooth office and operational support.
• Maintain accurate and organized administrative records, files, registers, correspondence, and factory documentation.
• Support the Factory Manager and other departments with administrative requirements and follow-up on Management directives.
• Coordinate factory facility management, including cleanliness, utilities, office supplies, maintenance requests, security, and general workplace conditions.
• Monitor the availability and proper use of office and factory administrative supplies.
• Coordinate staff welfare activities, refreshments, accommodation, transportation, and other administrative arrangements as required.
• Support the administration of factory attendance, staff movements, visitors, contractors, and access control.
• Coordinate official correspondence and communication between the factory and Head Office.
• Assist with arrangements for meetings, inspections, audits, Management visits, training sessions, and other factory events.
• Maintain records of company assets, administrative equipment, and other items assigned to the factory.
• Liaise with vendors, service providers, contractors, and other external parties on administrative and facility-related matters.
• Monitor service providers and ensure agreed services are delivered satisfactorily and within approved requirements.
• Support procurement and replenishment of administrative and facility-related materials in accordance with approved procedures.
• Prepare periodic administrative reports and provide updates on outstanding factory administrative matters.
• Ensure timely implementation and follow-up of approved Management instructions relating to factory administration.
• Support compliance with Company policies, procedures, HSE requirements, and factory rules.
• Identify administrative gaps and recommend practical measures to improve factory efficiency and employee welfare.
• Perform other administrative and operational duties assigned by Management.

Requirements

• Bachelor's Degree or HND in Business Administration, Public Administration, Management, or a related discipline.
• 3–5 years' experience in administration, preferably within a manufacturing or factory environment.
• Practical experience in facility administration, vendor coordination, staff welfare, documentation, and general office management.
• Experience supporting factory operations and working with Production, Warehouse, Maintenance, HSE, and HR teams is highly desirable.
• Good knowledge of administrative procedures and workplace practices.
• Proficiency in Microsoft Office, particularly Word and Excel.
• Strong organizational, communication, coordination, and follow-up skills.
• Ability to manage multiple priorities and work effectively under pressure.
• High level of integrity, diligence, responsiveness, and attention to detail.
• Ability to demonstrate professionalism and appropriate discretion when handling Company information.
