Job Description

About the Role

Shamal Holding, a diversified investment firm based in Dubai, is seeking an experienced Administration Officer to join our dynamic operations team. In this critical role, you will play a vital part in managing the administrative needs of our diverse assets, contributing to our mission of generating meaningful outcomes through exceptional investments and experiences.

Responsibilities

  • Manage daily administrative tasks including filing, data entry, document preparation, and scheduling.
  • Welcome and assist visitors, tenants, and customers with a professional and friendly demeanor.
  • Provide accurate information regarding services, promotions, and facilities available at our destinations.
  • Handle visitor inquiries through various channels such as in-person, phone, email, and messaging.
  • Act as the main liaison for suppliers and service providers, processing invoices and coordinating with finance and procurement departments.
  • Prepare reports and presentations as required by management within established deadlines.
  • Lead the purchase order (PO) and purchase requisition (PR) processes, managing requests through our ERP software.
  • Support the leasing department with daily tasks, including preparing contracts and performing due diligence on documentation.
  • Regularly address tenant complaints and operational challenges to ensure smooth operations.
  • Conduct due diligence on agreements and validate compliance documents for all tenants.
  • Utilize MS Office and other administrative systems effectively to perform tasks.
  • Undertake any additional tasks as assigned by management.

Requirements

  • Bachelor's Degree in Business Administration, Accounting, or Finance.
  • Minimum of 2 years of experience in leasing administration or tenant relations.
  • Proficient in MS Office and basic administrative systems.
  • Strong organizational and multitasking abilities.
  • Excellent communication skills in English; Arabic proficiency is a plus.
  • Ability to work effectively in a team-oriented environment.
  • Candidate must have valid UAE residency.
