Executive Assistant (Female)

Description

• We are seeking a highly skilled, proactive, and experienced Female Executive Assistant to provide high-level administrative, operational, and strategic support to the Chief Executive Officer of Casalavoro Limited.
• The ideal candidate should be highly organized, analytical, discreet, and capable of working independently.
• She must demonstrate strong business judgment, excellent communication skills, and the ability to take ownership of tasks and projects from initiation through to successful completion with minimal supervision.

Key Responsibilities

• Manage the CEO’s calendar, appointments, meetings, priorities, and daily schedule, ensuring effective time management and coordination.
• Coordinate internal and external meetings, prepare agendas, presentations, briefing materials, and relevant documents ahead of engagements.
• Manage correspondence, emails, phone calls, and other communications on behalf of the CEO while ensuring timely and professional responses.
• Take accurate meeting minutes, document decisions and action points, circulate them to relevant stakeholders, and follow up to ensure timely execution.
• Take full ownership of assigned projects from initiation to completion, including planning, execution, stakeholder coordination, monitoring, reporting, and close-out, with minimal supervision.
• Coordinate with internal teams, clients, vendors, partners, and other stakeholders to ensure smooth execution of business priorities.
• Conduct research, gather and analyze information, and prepare reports, presentations, briefs, and other materials
• Monitor assigned tasks, strategic initiatives, and management directives, ensuring that responsible teams and individuals follow through on agreed actions.
• Coordinate travel arrangements, including flights, accommodation, transportation, itineraries, and other logistics for the CEO
• Support the planning and execution of company events, conferences, business meetings, and corporate engagements.
• Maintain accurate and well-organized records, reports, contracts, correspondence, and other important company documentation.
• Support administrative and business operations by coordinating routine processes, tracking expenses and documentation, and ensuring timely completion of operational requirements.
• Serve as a key liaison between the CEO,managers , employees, clients, partners, and other stakeholders, maintaining clear, professional, and effective communication.
• Handle confidential and sensitive business, financial, personnel, and executive information with the highest level

Key Criteria / Requirements

• Bachelor’s Degree in Law, Accounting, Finance.
• Professional background or relevant experience in Law, Accounting, Finance, or corporate administration.
• Minimum of 2 years’ experience in an Executive Assistant, Executive Office, or similar role.
• Excellent written and verbal communication skills.
• Strong record-keeping, documentation, and organizational skills.
• Excellent interpersonal and relationship-management skills.
• Strong analytical, critical-thinking, and problem-solving abilities.
• Ability to analyze information, identify issues, and support management in making informed business decisions.
• Highly organized with exceptional attention to detail.
• Ability to manage multiple priorities, meet deadlines, and work effectively under pressure.
• Strong ability to work independently, take initiative, and exercise sound judgment without constant supervision.
• Demonstrated ability to manage projects from start to finish, including planning, execution, coordination, monitoring, reporting, and completion.
• Proficiency in Microsoft Excel, PowerPoint, Word, Google Workspace, and other relevant productivity tools.
• Experience with financial software, accounting systems, project management tools, or CRM platforms
• Ability to handle confidential, sensitive, and business-critical information with a high level of professionalism and discretion.
• Must be adaptable and comfortable working in a fast-paced and constantly evolving business environment.
• Strong professional presence, maturity, emotional intelligence, and business etiquette.
