Job Title: Receptionist

Job Summary

• The Receptionist is responsible for providing a warm, professional, and efficient first point of contact for hotel guests.
• The role involves handling guest check-in and check-out, reservations, enquiries, payments, complaints, telephone calls, and general front-office duties while ensuring excellent guest satisfaction and maintaining the hotel's standards.

Key Responsibilities

• Welcome and professionally attend to guests upon arrival.
• Perform guest check-in and check-out procedures accurately and efficiently.
• Handle room reservations, cancellations, amendments, and enquiries.
• Provide guests with accurate information about hotel facilities, services, room rates, policies, and local attractions.
• Answer and transfer telephone calls professionally.
• Respond to guest enquiries through phone, email, WhatsApp, or other approved communication channels.
• Maintain accurate guest records and ensure all required registration details are properly captured.
• Process room payments, deposits, invoices, and receipts in accordance with hotel procedures.
• Operate the hotel's Property Management System (PMS) and other front-office systems.
• Coordinate with Housekeeping regarding room status, room readiness, and guest requests.
• Liaise with Maintenance and other departments regarding guest complaints and maintenance issues.
• Handle guest complaints professionally and escalate unresolved matters to the appropriate supervisor or manager.
• Monitor arrivals, departures, VIP guests, special requests, and room assignments.
• Ensure proper handover of information between shifts.
• Maintain confidentiality of guest information and hotel records.
• Assist guests with luggage arrangements and other reasonable requests when required.
• Maintain a clean, organized, and professional front desk area.
• Follow hotel security, safety, emergency, and operational procedures.
• Prepare and submit required front-office reports.
• Ensure all outstanding guest accounts are properly followed up before departure.
• Maintain professional communication and excellent customer service at all times.
• Perform other duties assigned by the Front Office Manager or Management.

• Good numerical and cash-handling skills.

• Good organizational and time-management skills.
• Ability to work independently and as part of a team.
• Professional appearance and positive attitude.
• Ability to multitask in a busy hotel environment.
