Job Description
- Our client is seeking a highly organised and discreetExecutive Assistant to the CEOto provide high-level administrative, research, analytical, and presentation support.
- The role will manage the CEO’s calendar, correspondence, travel, meetings, and follow-ups, while also preparing research briefs, presentations, talking points, and strategic documents for board, donor, partner, and other high-level engagements.
Key Responsibilities
- Manage the CEO’scalendar, meetings, priorities, correspondence, and follow-ups.
- Coordinate domestic and internationaltravel, accommodation, visas, itineraries, and briefing packs.
- Draft and manage emails, letters, memos, and other correspondence on behalf of the CEO.
- Serve as the primary point of contact for the CEO’s office, screening and prioritising requests appropriately.
- Conduct research onpartners, sectors, policy developments, and key stakeholders, providing concise and actionable briefs.
- Preparemeeting briefs, talking points, speeches, presentations, and Q&A materialsfor high-level engagements.
- Develop polishedPowerPoint presentations and strategic documentsfor board, donor, partner, and internal meetings.
- Support financial, market, competitive, and programme analysis to inform CEO decision-making.
- Prepare meeting agendas, take accurate minutes, and track action items to completion.
- Coordinate with senior management and department leads to ensure CEO priorities and deadlines are met.
- Support board meetings and high-level stakeholder engagements, including logistics and documentation.
- Maintain an organised repository ofbriefs, presentations, templates, and reference materials.
- Handle sensitive organisational, partnership, and personal information with a high level ofconfidentiality and discretion.
- Provide general administrative support and assist with ad hoc projects led by the CEO.
Requirements & Qualifications
- Bachelor's Degree inBusiness Administration, International Relations, Economics, Public Policy, or a related field.
- 4–6 years' experiencein executive support, research, strategy, or a similar role supporting senior executives.
- Proven experience managingexecutive calendars, correspondence, travel, meetings, and confidential information.
- Excellentresearch, analytical, writing, and communication skills, with the ability to simplify complex information.
- Strong PowerPoint/presentation development skills with a goodvisual and structural sense.
- Proficiency inMicrosoft Office, particularly PowerPoint and Excel.
- Strong organisational skills, attention to detail, sound judgement, and ability to manage competing priorities under pressure.
- High level of professionalism, discretion, and responsiveness.
Desirable Experience:
- Experience inhealth, development, consulting, NGO, or donor-funded environments.
- Previous experience directly supporting aCEO or senior executive.
- Experience managing international travel and visa arrangements.
- Familiarity withdonor, corporate, or multinational stakeholder engagements.
- Proficiency inCanva, Adobe Creative Suite, or similar design tools.
